Set up Instructions

CSSA Swim Events 2024 for Meet Manager Swim

CSSA School Codes 2024

INSTRUCTIONS:

1. Place Attachments on desktop - do not try to unzip files
2. Open Meet Manager Swim program
3. File: Restore: Unzip, copy data base to a selected folder, & open new data base   
4. Also tick - Rename data base    ie. "school name" Primary or Secondary School Swimming Carnival 2024
5. Open attached file which should be on your desk top ie. Swmm6BkupCSSAPrimSwimEvents2024-01.zip
6. Select folder you wish to save the unzipped database which is called CSSAPrimSwimEvents2024.mdb

You now should have a new database opened which contains the CSSA Prim or Sec Swim Events 2024

RUNNING ORDER OF EVENTS:  ie. event number

The order of the events is based on the Primary or Secondary State Swimming Carnival

You can change the event numbers  BUT  PLEASE DO NOT CHANGE THE NAME OF THE EVENTS

THEY MUST REMAIN THE SAME SO THAT WHEN YOU SEND YOUR TEAM LIST THROUGH TO YOUR ZONE CONVENOR EVENTS WILL MATCH UP CORRECTLY

UPDATING YOUR STUDENTS NAMES/DOB from 2023

1. To update your student database you need to open your "school swimming carnival database from 2023".
2. Click on FILE and a list of available databases should be shown at the bottom.
3. Once you have last years database open Click on FILE: Export - Athletes/Teams/Email (HY3)
4. Export Rosters table: Select Gender: Both and Export Type: Athletes/Teams  OK
5. Save the Roster File.HY3 to a selected folder on your hard drive  (please remember name of file & location for step 7)
6. Click on FILE and re-open your  Swimming Carnival 2021 database
7. Next click on FILE: Import - Rosters only and open the Roster File. HY3 that you previously saved in step 5
8. To update their age from 2023 to 2024 Click on SET UP: OPTIONS
9. Click on: Increment school year by one year for each athlete  (1st box) & click OK
10. If you wish you can delete students that have left the school by going into Athletes
11. You will need to manually add new students into the database or you can import new students using Meet Manager T&F - see instructions below

Your carnival should now be ready to run!!!!

Instructions: How to Import Student data base into Meet Manager T&F + Excel Template

IMPORTANT:  You CANNOT import student database (xls file) using Meet Manager Swim. You MUST use the Meet Manager Track & Field program.

Note: Download both files

Once you have your new students imported into Meet Manager T&F

• click on File: Export Athletes/Teams/Emails to to create a .tcl file
  
• save .tcl file in a place you will remember
  
• Open Meet Manager Swim program
• IMPORT .tcl file into Meet Manager Swim
  
• click File: Import: Track & Field Rosters
